Checking insurance coverage for district contracts is crucial to protect the district, its staff, and students from financial losses and potential legal liabilities. It ensures that the district is covered for accidents, injuries, and other incidents that may occur on district property or during district/school activities. In addition, vendors that the districts are working with may also request verification of insurance coverage by obtaining a copy of a Certificate of Insurance.
California Schools Risk Management (CSRM) will provide a Certificate of Insurance (COI) upon request and annually to vendors the member may be working with. Requests can be made via the request link shown below.
California Schools Risk Management (CSRM) has developed an Insurance Requirements Manual to serve as a guide in developing proper insurance requirements in contracts. It explains how to establish insurance requirements for contracts with contractors, tenants, vendors and users of district property, and how to monitor their compliance with those requirements during the term of the contract. It is our belief that the Insurance Requirements Manual will provide guidance in almost all cases encountered by the users, however there could be exceptions to the rules contained herein. In this event, CSRM will provide additional support should users encounter situations that fall outside of the manual’s recommendations.
On occasion Districts may be presented with proposed activities that may be considered high-risk or excluded from the CSRM Memorandum of Coverage (MOC). It is important for Districts to review District guidelines and/or other special arrangements for these types of activities and events and to review and understand the CSRM MOC. To support Members with their review of high-risk activities and exclusions, the following assistive document is available to Members. For additional support District Members can always reach out to their designated CSRM Risk Manager to discuss a proposed activity.
When considering sponsoring activities or events such as field trips, and fund-raising events, CSRM recommends that Districts and their sites evaluate the perceived benefits versus the potential risks. CSRM has developed an assistive risk assessment document to support Districts and their sites when evaluating potential risks associated with the proposed activity. For additional support District Members can always reach out to their designated CSRM Risk Manager to discuss a proposed activity.
